Annual General Meeting

Annual general meeting is also known as AGM or simply an annual meeting. This annual gathering is required by the law to be held once a year at a specified date and time especially if the company involves the public such as charities and companies with shareholders. In a regular, privately owned corporation, it is held to inform its members of the company’s status, the period running from the last annual meeting up to the current one. Election of new officers can also take place during an annual general meeting.

Because of the nature of issues discussed within an AGM, it is only natural for the event to have a formal feel that is also business-like. Participants are usually expected to arrive in formal dresses suitable for the occasion. Furthermore, the company’s financial statement is also distributed to its members to update them of the company’s progress.

Normally, the current chairman of the company stands as the host therefore making him responsible for organizing the event and making sure that all expectations are met. He is expected to come up with an agenda that will be sent along with the invitation for the upcoming event. Sometimes, these invitations are extended to third party participants such as member’s family and friends. Annual general meetings take time since there are many relevant issues to discuss and it is best to provide entertainment to keep your participants from getting bored. These tasks are best coordinated by a professional event planner, saving you time and energy in the process.

Client Appreciation Events

In marketing, one should not always “take” as it is also important to know how to give back especially to people who supported you all the way. Client appreciation events make sure that your clients get the appreciation they truly deserve. What’s more, it doesn’t need to be an expensive event to make but more importantly is that the host must be able to effectively express his appreciation through this event.

While event planners suggest that marketing can still be done during these events, it is highly recommended to keep it to a minimum and as subtle as possible. When launching an event like this, your primary purpose is to make your clients feel special. Event Marketing comes in only if there’s still room for it. Your clients must realize that their efforts are properly recognized thus encouraging them to do more. Usually, when you hold a client appreciation event, it is much more targeted, personalized and intimate, that being an activity your attendees enjoy the most such as golf, Spa, and overnight stays.

Appreciation events in general are held to give you, the host, a chance to say thanks to people who matter most. It can be for your staff, your company’s stockholders, your business partners or even a client that was able to save the day for you. Appreciation events can be given for big groups such as a sister company or smaller group of people. Furthermore, it can be in forms of gift certificates, spa packages and skill enhancing classes perfectly suitable for your participants.

Training Sessions

Corporate events are essential in a company’s attempt at growth. Without it, the workplace would be too much of a bore that no one would ever want to get hired again. Corporate events encourage productivity within the company while enhancing your corporate image even further. Also, corporate events are held to break the monotony of work life once in a while—a surefire way to ease the stress that comes with working the corporate life!

One of the most important corporate events held for the benefit of its members and employees is training sessions. Training sessions are provided by department heads to familiarize their members of new policies and improvements within their department. Furthermore, training sessions are also given to new and incoming members of the department to ensure that these people will know what to do once they get on the job.

Training sessions can be done with minimal prep time for small groups. However, larger groups are best handled by an event planner since it will involve overall coordination for venue, food and others. Constant communication between the event planner and the business owners is a must for training sessions. Moreover, experts in the field should be contacted and coordinated at once.

Seminars are a common corporate event and they usually last for a minimum of half a day to a maximum of whole day. They are the shortest, most convenient event to organize for event planners. Seminars are also the fastest way you can reach out to your target market while staying valuable for their own growth. Informational seminars aim to educate people and bring them data that they can use to further enhance their knowledge. Seminars are done mainly for the purpose of assisting your audience through information. This is where curious minds meet and communicate effectively.

Seminars can also be done to familiarize your clients of what your brand or product can do for them especially if it’s a new and unfamiliar brand you are currently launching. Consider this as your 15-minute chance to convince them to trust your brand. The key to a successful seminar is delivering the exact, desired value your attendees are looking forward to. It should deliver genuine, sincere information, no less.

Albeit short, seminars also have its own set of challenges for event planners. It still needs to be planned ahead of time and should be well-coordinated. The most important part of a seminar is having an expert resource person to talk and that alone can cause problems such as last minute changes and conflict in schedules. In seminar planning, your worst enemy is time but if planned well, seminars can yield sales, motivated workers or loyal customers that are sure to benefit your company tremendously.

Promotional Event

shutterstock_12514651Promotional events occur when companies, organizations or individuals get together for the purpose of promoting or endorsing their products and or services.  Promotional events can be sponsored by other companies or launched by their very same businesses.  The typical promotion is like an event whereby companies attempt to grab and generate attention.

Promotional events can also be held simultaneously over different areas to ensure that the public and masses get wind of the product or service.  It is like a massive advertising campaign to get the public to purchase the product.

Movies and celebrities, causes, benefits, fund raisers and other similar events usually launch promotional events in order to help succeed or get attention for their projects.  The press is usually invited during such events again to help generate attention.

Promotional events are very helpful in launching products and services.  There can be a party and some advertisements in the paper, radio, TV and internet.  A press conference can also be held during a promotional event to help the public understand what the product and service is all about.

Grand Opening

Grand Opening Event

A grand opening is an event whereby businesses, institutions or organizations announce the opening of their new location.  Most often grand openings are preceded by other announcements such as “soon to open” or “watch for the opening of…”.  Grand openings can be formal affairs or casual affairs depending on the intentions of the business owner.  They can also be opened to the press and or public.  Organizing a grand opening for big companies can take months of preparations.

Some organizations and businesses prefer to have a “soft opening” before the big day.  This is for everybody within the business to get accustomed to duties, responsibilities and roles without the massive attention grand openings usually get.  This can last a few days, weeks or months, sort of like a practice before the main event.

Grand openings especially for huge businesses or organizations are very big events.  They can include fireworks display; round the clock press coverage, massive advertising campaigns and huge parties with celebrities and other well known people.  Grand openings can also be small and intimate open only to select and invited individuals.

Trade Shows

shutterstock_24690265A trade show or an expo is an event organized by companies in a certain industry to showcase their wares, products or services.   Some trade shows are open to the public and others are attended only by the press and other companies.   Most trade shows are held on a continuing basis.  There is a lot of advertising and marketing going on during trade shows as companies and their rivals usually try to best each other to try and attract potential clients and investors alike.

An example of a trade show would be the annual Frankfurt Book Fair held every year in late October in Frankfurt, Germany.  It is one of the oldest book fairs in the whole world and easily attracts 280,000 visitors each year.  Representatives from various publishing companies as well as multimedia companies go to Frankfurt each year to negotiate for publishing rights and licensing fees.  During the 5 day event, publishers, agents, librarians, book sellers, antique book dealers, translators, printers, software developers and multimedia developers take part various transactions revolving around books.

Trade shows are quite common place.  In the United States for example, an average of around 2,500 trade shows are held every year.  There are even virtual trade shows that exist in the internet.  Participants partake in this event through the internet and transactions and various interactions are done online.

Conferences

Most dictionaries define a conference as an event where people meet to “confer” about something.shutterstock_431551

Different people, events, companies or institutions organize conferences for different purposes.  An example of a conference would be an academic conference where scholars, teachers, professors, teachers and other related personnel would gather and hold meetings regarding news, announcements, developments, workshops and the like that surround their respective fields.

The same is true when there are business conferences.  In this setting businessmen meet to discuss matters about thing related to the business world.  When we attend a news conference we can expect to get updated about certain announcements parties would like to share with the press.  During a news or press conference you can expect a question and answer part where the parties concerned address questions directed to them by the media present to cover the event.  There are press conferences however that do not have question and answer portions.

Other examples of conferences we usually hear about are parent-teacher conferences where parents meet their child’s teacher and a discussion regarding education, progress and other matters are usually discussed.   A very convenient way of doing a conference especially among businessmen is a conference call where parties discuss matters using the telephone or the internet.  A video conference can also be arranged where an image of the participants are transmitted live to each other with the use of video equipment and usually the internet.

When people say corporate events, we usually picture people in business suits talking and mingling with each other over hors d’oeuvers and caviar.   It usually means a stiff and boring event where everybody talks business even after business hours.

However, corporate events need not be limited to parties such as the one mentioned above.  Corporate events can be fun and exciting.  Managers and businessmen are now paying attention to the power of business events.  Office parties can be made to foster team spirit and unity.  As they say a happy employee is a productive employee and employees do not need only their salaries to make them happy.  If they are happy with their office mates and see them as team mates rather than the competition, then things are likely to be productive and profitable in the office.

Aside from the annual Holiday parties offices usually hold for their employees, corporate events can be team building exercises, a company sponsored family day or a corporate “field trip”.  These various events and activity do not only foster team spirit but let co-workers get to know each other more personally and outside the corporate setting.
